Playing Fields:

Description
This is where we setup each turf that is able to be used by the association. This includes all full field turfs, half field and qtr field options for junior hockey.
Fields and Values:
Name = Name of the Turf
Description = Description of the Turf
Opening / Closing Time = This is the opening time of the turf, used for the bookings calendar so appointments can not be made unless the turf is open.
Colour = Pick a colour to use for this turf. This shows all bookings / matches in the “All Turfs Calendar” as their respective colour. This gives you full visibility of your turf usage from a single calendar.
Parent ID = Set this only when you are splitting a turf for junior hockey. Example in the image above is GHC 1A (GHC Turf 1, Half A) has a parent of GHC 1. This means when you book half a turf, it will show in the full turf calendar.
Booking Email = The booking email is who we will automatically send a copy of the booking requests to. This will alert you that somebody has requested a turf booking that you can approve or decline.
IsActive = When a turf is no longer in use, untick the IsActive tick box. We don’t allow deleting of turfs as we need the record for your history, so the alternative is to make it no longer active.
Competition Master List:

Description
The competition master list is a full list of grades / competitions that you run each season. This is not a list of this years competitions but a full list of all competitions that the association is running or has run in the past. This list is used to select from when setting up “This Years” competitions.
Fields and Values:
ID = Small Short Name used for the Competition. Usually this is kept short and has no spaces as an abbreviated name
Description = This is the full name of the Competition that is used in screens and on reports.
IsActive = Is this competition available to be setup as a new competition this year.
Game Lengths:

Description
This menu option is setup so you can enter the different types of matches you have in your association. Example Junior hockey is 20 mins long vs senior hockey which is 4 qtrs of 15 mins etc.
Fields and Values:
Name = Common name for this Game Length
Periods = How many periods in this game (not including breaks, only playing periods)
Mins Per Period = How many minutes per each period
Secs Per Period = How many seconds per each period
FieldTimeSlotMins = How many minutes to show for this type of match in the calendar. Including Warmup Time, Breaks, Playing Time. This amount of minutes will be booked out for each match.
IsActive = Allow this option to be chosen when setting up a match.
Match Groupings

Description
This screen is used to setup ways to Group Matches in a Competition. This can be used to seperate playoff games away from standard competition games. Another option is to use this to seperate teams into Pools for matches.
When matches are grouped using a grouping they show separately in the Standings. Example below.

Fields and Values:
Description = Name of the Grouping
Seq = The order in which the groupings are displayed on the standings page.
Comp Groupings

Description:
Competition Groupings are a simple way to group and secure you different competition levels. Example above shows groups by Juniors/Seniors etc. These groups allow you to then group all junior competitions together for both visibility on the screens and also to restrict access to certain users by this group.
Fields and Values:
ID = Automatic Number
DESC = Group Description Name, suggest keeping these some what short in length.
Registered Club/Schools

Description
This screen shows all club and schools that have been registered using the “Club / School Registration Wizard”. When users fill in the form on your association website the information will come through here. You can then from here approve or decline their status. When you approve, this emails them to advise they can now start to register their teams using the Team Registration Wizard.
Fields and Values:
Fields are all entered via the Wizard by the users. You can manually add Club/Schools in the background using the “Add new record” button.
Once you have the Club/School registered and PENDING in this list, please make sure you APPROVE the Club/School so they can register their teams.
Email Templates

Description:
The Email Templates menu option is a simple list of all the emails sent out by the HOCKIO system. By clicking the Message link on the right column, you can edit the text / layout of the email that is sent in each of the Scenarios.
Fields and Values:

This is an example of an Email sent to the Managers of the Teams to enter results. As you can see there is a list of {tags} in the email. This is where the system will replace those {tags} with information about the match.
Tags that can be used are:
{myteam} = The Name of your team
{vsteam} = The name of your opposition
{venue} = The playing field that is used for the match
{matchtime} = The time of the match
{key} = The kiosk key to be used if the manager decides to use the kiosk option
{url} (hidden in the “Click Here” link = the private link to enter the results / or team entry etc
{compadminemail} = The email address of the competition manager. This is the email setup on the COMPETITION > Setup New Competition menu option.
